Applying for Media Support
Are you a journalist or media professional planning to feature Tokyo in your upcoming work? TCVB can make your experience even more rewarding. Before submitting your application, be sure to familiarize yourself with the terms and conditions. By agreeing to these terms, you’re taking the first step toward receiving TCVB’s valuable support.
What TCVB Offers
Once your application is reviewed and approved, you’ll be eligible to receive a range of support services that can greatly enhance your Tokyo experience. These services are primarily focused within the Tokyo area, aiming to make your coverage as seamless and productive as possible. However, it’s important to note that the specific support offered may vary depending on the nature of your project, its potential impact, and the availability of resources.
Support Services
TCVB provides a variety of support services to make your media journey in Tokyo effortless. These services are designed to ensure you have a smooth and productive experience. However, the availability of specific services may depend on their budget and other factors.
Accommodation
TCVB may offer accommodation for up to three journalists for a maximum of three nights. The accommodation provided is typically equivalent to two- to three-star hotels. If you prefer to book your own accommodation, TCVB cannot provide reimbursement for your expenses.
Transportation
To help you navigate the city with ease, TCVB may provide Tokyo 1-Day Tickets. These tickets allow you to travel on the metro and buses within Tokyo’s central 23 wards, as well as on JR lines. While TCVB cannot offer the Japan Railway Pass, they may provide support for transportation within Tokyo.
Airport Transfers
For your convenience, TCVB may arrange pick-up service from either Haneda Airport or Narita Airport. This service ensures you arrive at your destination comfortably and without any hassle.
Guides and Coordinators
TCVB understands the importance of having a knowledgeable guide to enhance your experience and ensure smooth filming and photography. They may offer guide or coordinator services for up to three days, up to eight hours each day. While a guide can’t arrange filming or photography permissions, a coordinator will assist in coordinating and facilitating these aspects with tourist attractions and venues.
What TCVB Does Not Offer
TCVB’s media support program is designed to offer specific services to enhance your coverage. They do not provide support for any expenses beyond those listed in the support services section. This includes additional costs not explicitly mentioned.
Before You Apply
Before applying for TCVB’s media support program, there are a few key preparations you should make. Ensure you have an assignment letter or verification from your media company, especially if you are a freelance journalist. This letter helps validate your media credentials and the purpose of your project.
Application Requirements
To ensure a successful application, please remember the following:
- Tourism-Focused Content: The article or program you are planning should be focused on promoting tourism in Tokyo.
- Early Application: Submit your application form at least four weeks prior to your arrival date in Tokyo. The deadline for applications is February 28, 2025.
- Coverage Deadline: All filming, photography, and interviews must be completed by March 31, 2025, as the support program is valid until that date.
- Pre-Determined Publication/Broadcasting Dates: The dates for the publication of your article, broadcasting of your program, or posting of your online content should be finalized before you apply. These dates should ideally be within six months of your coverage period.
- Planned Itinerary: You’ll need to discuss your planned itinerary with TCVB’s media support team to ensure a smooth and efficient coverage experience.
- Group Size: Inform TCVB of the total number of people in your group to facilitate proper arrangements.
- Permissions: Obtain necessary permissions for shooting and photography at the sites you visit and be mindful of others’ privacy.
Cancellation Policy and Feedback
- Cancellation Fee: If you cancel your coverage arrangements without a valid and unavoidable reason, TCVB may claim a cancellation fee and cease supporting your coverage.
- Feedback and Photos: Within one week of completing your coverage, please submit feedback, photos of the visited places, including a selfie at each location, and grant permission for TCVB to use these materials for reporting, case studies, and promotional purposes.
- Final Product Data: After publishing or broadcasting your content, submit the final product data, including an English summary, to TCVB. Failing to provide this data may result in TCVB reclaiming the expenses they provided as support.
- Credit: Include “Tokyo Convention & Visitors Bureau” in the credit sequence of your final product.
Data Sharing and Contact
TCVB may share your personal information with third-party service providers, including accommodation, transportation, and guide/coordinator services, solely for the purpose of arranging your support.
